What are the steps that I need to take to become a sponsor/exhibitor?
- Review prospectus and decide on level of support.
- Discuss with Courtney Lewis, if you still have questions. (703) 524-0248 x5 / firstname.lastname@example.org.
- Fill out online application form.
- Coordinate payment within 30-days of confirming level of support with RAE.
Is it necessary for me to fill out the online application form?
Yes, as this ensures that we have all of your information correctly noted in our database, as well as receipt of your confirmation that you wish to sponsor/exhibit. The online application will also enable you to upload your logo (if this is one of your benefits) in an EPS format, and confirm who your organization’s lead will be, in managing your exhibit space.
What is the deadline for choosing to sponsor/exhibit at the Summit?
Depending on space availability, you have until November 16, 2018 to decide on sponsorship and exhibiting. That said, it’s in your best interest to decide earlier, as exhibit space will fill quickly. In addition, the earlier you commit to sponsorship/exhibiting, the sooner you will begin to receive benefits associated with your level of support.
When is sponsorship/exhibitor payment due?
Unless you have made special arrangements in advance, sponsorship/exhibitor payment is due 30-days from the time of being invoiced. Once payment has been received or special arrangements approved, we will begin to acknowledge your company/organization as a supporter on our website and via social media.
Can I spread my sponsorship payment out over multiple years (e.g. 2017 and 2018)?
Yes, many of our sponsors choose to spread it out during more than one fiscal year, as it helps with their budgeting….particularly if your sponsorship is $10,000 or higher. Please contact Courtney Lewis to coordinate this, email@example.com.
Can I go in jointly with another company/organization on sponsorship?
Yes, though you will then share the benefits that come with that sponsorship level.
As a confirmed sponsor/exhibitor, do I still need to register as an individual attendee?
Yes, all confirmed sponsors/exhibitors receive a certain number (depending on your sponsor level) of complimentary registrations. Each person who receives a complimentary registration must go onto our website and register at: https://www.estuaries.org/Summit.
Do I need a “code word” to register, as a sponsor/exhibitor?
Yes, you will receive a special code to use when online registration opens.
How do you select exhibit space in the Expo/Poster Hall?
In late Summer 2018, we will reach out and invite you to provide us with your top 3 choices. Based on your level of sponsorship (Lead Sponsors go first, then Principal Sponsors, and so forth), determines the order in which you’re invited to secure your space.
How big is each exhibit space and what comes standard with it?
Standard exhibit space is 10’x 10’. Complimentary amenities included in your booth are one 6’-long table, two chairs, one wastebasket, and a standard name placard on back 8-foot high curtain.

Does it cost to have adio visual/internet/electricity in my booth, how do I go about ordering it?
Yes, to order audio visual, electricity, and/or internet services for your booth, please contact Courtney Lewis at email@example.com.
How do I order carpet, lighting and other extras for my booth space?

Unfortunately, I’m not planning to sponsor/exhibit during the 2018 Summit, can I give my space to another organization?
Ideally, we prefer that all sponsors choose to exhibit. If you are unable to exhibit, and wish to donate your space to another organization, please immediately contact Courtney Lewis to coordinate, (703) 524-0248 or email@example.com.
How big is the Exhibit/Poster Hall?
Approximately 50,000 sq. ft.
What does the layout of the Expo/Poster Hall look like?
The Expo Hall floor plan will be available in 2018.
What are the hours of the Expo/Poster Hall and set-up and tear-down?
