When does early-bird registration end?
The deadline to register at the early-bird rate was Friday, October 12, 2018. The full rate is now $595.00 and registrations must be received by Wednesday, November 28, 2018 to guarantee confirmation. After November 28, 2018 we will only accept registrations on-site and the on-site registration fee is $625. Pre-registration is strongly recommended.
What if I need to cancel my registration?
To cancel your registration, you must submit a written request to Capital Meeting Planning, Inc. (firstname.lastname@example.org) by Friday, October 12, 2018. Cancellation requests before Friday, October 12, 2018 will be charged a $50 admin fee. After Friday, October 12, 2018, cancellations will not be refunded. Substitutions are allowed with no admin fee charged. Substitutions will be accepted in writing if received by Wednesday, November 28, 2018. Restore America’s Estuaries will honor requests for changes, cancellations, and refunds that meet these requirements. Non-refunded payment for the 9th National Summit will not be credited toward any other service, product from, or contribution to Restore America’s Estuaries.
If I am making an oral or poster presentation, do I need to pay the registration?
Yes, all attendees, including speakers and poster presenters must register and pay to participate in the Summit in person, including travel costs.
Is funding available to help cover registration costs?
Yes, a very LIMITED amount of financial support will available and only to cover registration fees. No travel support will be awarded. We will post an application for support as we get closer to the date. Please contact Suzanne Simon for details.
Can I volunteer at the Summit, in exchange for registration payment?
We are no longer accepting volunteer applications at this time.
When will presentations occur?
All oral presentations will occur Monday, December 10, through Wednesday, December 12. Please see the schedule-at-a-glance for more details.
Where will my poster be displayed? Do I have to be with it at all times?
All posters will be displayed in the Expo Hall. Poster set-up will occur on Sunday afternoon and the posters will be on display through Wednesday afternoon. Poster presenters need to be with their posters only during the poster session, which will be on the evening of Monday, December 10.
How will my poster be displayed?
Posters will be assigned a designated location by topic and will be displayed on a freestanding board 48″ high x 48″ wide. Push pins will be provided.
Who can I contact with a question about the status of my presentation/poster submission?

You can sign up as a sponsor or exhibitor by filling out the online form.
Is it too late to become a sponsor/exhibitor of the Summit?
No, we’ll accept sponsorships/exhibitors all the way up until end of November. Though, the earlier you make a commitment, the more your benefits will reward you. For more information, please review our prospectus.
When is sponsorship/exhibitor payment due?
Unless you have made special arrangements in advance, all sponsorship/exhibitor fees are due 30 days from the time of being invoiced.
As a confirmed sponsor/exhibitor, do I still need to register as an individual attendee?
Yes, all confirmed sponsors/exhibitors receive a certain number (depending on your sponsor level) of complimentary registrations. Each person who receives a complimentary registration must register online.
Do I need a “code” to register, as a sponsor/exhibitor?
Yes, you should have received a “code” once you were confirmed as a sponsor/exhibitor. If you did not receive this, please follow-up with us.
How do you select exhibit space in the Expo/Poster Hall?
We will reach out and invite you to provide us with your top 3 choices. Based on your level of sponsorship (Lead Sponsors go first, then Principal Sponsors, and so forth), determines the order in which you’re invited to secure your space.
How big is each exhibit space and what comes standard with it?
Standard exhibit space is 10’x 10’. Complimentary amenities included in your booth are one 6′ long, draped table, two chairs, one wastebasket, and a standard name placard on the back of an 8-foot high curtain.
Does it cost to have internet/electricity in my booth, how do I go about ordering it?

I heard that there will be a smart phone app. How do I get it?
Yes, we have a Summit app that will work on Apple and Android smart phones and tablets. The app will provide you with general information about the program, schedule, and let you create your own personalized schedule of events during the six-day event. We will send out notice once the app is finalized. We greatly appreciate Great Lakes Dredge and Dock for their Summit App sponsorship.
Will there be internet/Wi-Fi access at the Summit?
Yes, we will be providing Wi-Fi inside the Expo/Poster Hall. If you wish to purchase direct internet access for your exhibit space, you can review the details in our Exhibitor Kit, which will be ready later.

Where did the coastal artwork come from for the cover of the program booklet, tote bag, and elsewhere?
Each Summit, we work with a local artist, to paint an image that personifies and represents the local estuary where our event is being hosted. For the 2018 Summit, we are working with Melody O’Connor Allen, a pastel landscape artist that grew up in Southern California.
